Manage Default Assignation User
During the construction of a process it is necessary to define users to be responsible for each of the activities of the process. Activities are allocated to those who meet certain conditions defined in the fifth step of the wizard, Define Performers. Allocations or assignments are done according to the user’s properties (User id, Area, Location, Roles, Skills, Position). For further information please refer to Assign Performers.
However, there are times when the conditions established are not met for any user, for different reasons. For example, all the users with a certain role or position are not enabled for assignation or no one has been assigned the specific property.
When the enabled users do not comply with the assignation conditions, Bizagi does the following.
- Assign as performer the person who was defined as the Default Assignation User for the process.
- If the Default Assignation User is not configured, the Task or Event will be assigned to all users defined in the Default Assignation User Group.
How to configure the Default Assignation User
To access this option, click on Admin in the Main Menu of the Work Portal. Then select Manage Default Assignation User.
A default user can be defined for a single process, for several processes or for the entire application.
1. Click on Select Process. Then select All Applications to select a default user for all applications created.
2. To select a user for a particular application, click on Select Application (1) and then choose the application desired (2).
3. To choose a particular process, click on the application´s name and select the desired process (3, 4).
4. When the application or process is selected, click on the New User button, and look for the user that will be set as the default user for assignment when rules are not met. Click on Save when done.
How to configure the Default Assignation User Group
The Default Assignation User group is a group of people who are designated as performers of the activities where the assignment condition rules are not met and thus there is no one to execute them.
1. To define a Default Assignation User group, go to Bizagi Studio and select Organization. Then choose User groups and finally Default Assignation Users.
2. Right click on the Default Assignation User and select properties. This group is created by default. For information about How to create a new group go to User Groups.
3. The administrator is included by default in this group. Click on the Add or Remove button to modify the users included.
4. If you add a new member to the group, it is necessary to include the users properties related to it. Include the Role, skill, position, location or area of new member.
5. Select the Business Option found on the Configuration tab.
6. Select the Advanced section and then assign the DefaultAssignationUsers group to the Default Assignation User Groups. You can assign this group or any group previously created.
